Search for “event planner instagram post ideas” and the lists tell you to post quotes, desks and coffee. An event company has something better lying around: the event it just finished. The room, the vendors, the guests and the client’s brief are all material. Most firms post one photo of the result and never use the rest.
This is a worked example, not a study. I have not measured what any of it earns. It is a week you can run from a phone.
What do event planners search for about Instagram?
They search for ideas, captions and bios. Google autocomplete in the UAE locale on 9 October 2026 offered “event planner instagram”, “event planner instagram post ideas”, “event planner instagram captions” and “event planner dubai instagram”. Nobody typed a question about being found, so the useful answer is what to make.
The same check returned nothing for “how to get my event company to show up in chatgpt”. Owners ask about the feed first and about assistants later, if at all.
How can one finished event become a week of posts?
Split the event into the parts a client saw at different times. Take one corporate dinner or one launch that has just ended and give each part its own post. Each takes about fifteen minutes on a phone if the photos were taken on the day.
| Day | Post | What goes in it |
|---|---|---|
| Monday | The brief | The client’s ask in one sentence and the room as it was before |
| Tuesday | The set up | A short clip of the team building the room, venue named |
| Wednesday | The room at its best | Three or four photos of the finished space and one caption |
| Thursday | The detail | One thing guests stopped to look at and how it was made |
| Friday | The client’s words | A line from the client with their permission and one photo |
Posting the week after the event is fine. Nothing here needs to be live. A scheduling app can hold all five, which is what the QC Event School guide of 17 December 2021 suggests for busy planners.
What should the caption of an event post say?
Open with what the event was for and where it was. Follow with what you did. A caption that names the occasion, the venue and the number of guests gives a reader and an assistant something specific. “Beautiful night” gives neither. Then add one small story, such as what went wrong and how the team fixed it.
Name the venue and tag the vendors who worked on it. Their audiences see you, and your caption now carries real names of places and trades. Keep claims to what you can show. If you cannot prove a number, leave it out.
How does a finished event become a page an assistant can quote?
Put the event on your own site as a short page: the occasion, the date, the venue, the guest count and what you were asked to deliver, in plain sentences. An assistant reads page text more easily than a caption inside an app.
Google’s image guidance, last updated 2 March 2026, says images should sit near relevant text and carry descriptive alt text, and its example prefers “Dalmatian puppy playing fetch” to a bare “puppy”. For an event that means “Gala dinner for 120 guests in a ballroom at a Dubai hotel” rather than “event photo”. Use short filenames that say the same, and check that the text still shows with scripts off, as the earlier scans in this journal did.
If you want to see how readable your site is today, our audit shows it.
Will this get an event company named in an assistant’s answer?
It makes the firm easier to find and easier to quote, and that is all I can say. No one outside the assistant companies publishes how they choose who to name. I did not ask an assistant anything for this post, so there is no answer to show you.
What the week does give you is a feed that looks active and shows range to a buyer vetting you before a call, and one new page each time an event ends. Do it after each event for a quarter and you will have a body of work to point to.
